LGBT Community Center Coalition of Central Pennsylvania

The Executive Director has overall responsibility for financial and operational management of the organization and is responsible for carrying out the strategic priorities of the center as determined by the Board of Directors. The Executive Director will be a strong and collaborative leader with a proven track record in financial management, fundraising, programming and operational supervision. Excellent written and oral communications along with creativity and networking will be skills possessed by the Executive Director. The Executive Director position reports to the Board of Directors.


RESPONSIBILITIES (categories listed in order of priority)

Resource Development and Fiscal Responsibility

  • Fundraising and resource development is the primary responsibility of the Executive Director, working in collaboration with the Board of Directors
  • Develop and expand relationships with corporate and institutional donors
  • Assume ultimate accountability for securing resources needed to support the organization’s mission and strategic plan through individual and major donor cultivation, annual events, memberships, sponsorships and grant writing
  • Develop and manage organizational budget in partnership with Board of Directors

Organizational Management & Leadership

  • Develop and sustain programming consistent with the mission and strategic plan of the organization
  • Develop work plans to carry out strategic plan
  • Recruit, orient, supervise and train staff/ volunteers, pursuant to organizational policy and procedures
  • Motivate staff and volunteers in accomplishing responsibilities and goals through empowerment and team work
  • Work with Director of Education and Youth Services to maintain and grow youth leadership programs
  • Provide oversight in matters of technology and work with Board to address the ongoing operational needs of the center, including office space

External Relations and Outreach

  • Provide leadership to the LGBT community by generating innovative ways to provide service
  • Develop and provide oversight for organizational communication and marketing plans
  • Support organizational partnerships and programming in conjunction with partners
  • Represent the Center to the public and work to increase awareness of the organization
  • Cultivate key relationships on behalf of the organization through outreach and collaboration across the community

Board of Director Relations

  • Work in partnership with Board and committees on appropriate issues, policies, and strategic direction
  • Provide complete, effective and timely information to the Board of Directors to help its members make informed decisions
  • Provide for measurement of strategic plan goals

Position Description

EqualityMaine, the statewide lesbian, gay, bisexual and transgender (LGBT) advocacy organization,
seeks a full-time Communications Director. The Communications Director reports to the Executive
Director and is responsible for developing and executing a strategic communications plan; maximizing
media coverage of the organization and its programs; and managing online communications to
members, key stakeholders, and the general public.

Qualifications
The ideal candidate will have: 1) minimum three years experience in communications; 2) demonstrated
success using traditional and new media to accomplish strategic communication goals; 3) excellent
writing (drafting and editing) skills; 4) proven ability to develop and maintain relationships with media
contacts; 5) demonstrated success managing website content; 6) experience with political campaign
communications (legislative, issue, or candidate); 7) excellent communication, interpersonal, and

Responsibilities
Among other responsibilities, the Communications Director will:
  • Create and implement a strategic communications plan that increases EQME’s visibility and helps to achieve its mission and strategic objectives;
  • Serve as lead writer for all organizational communications (online and print) related to programs and events, including: emails, press statements, and talking points;
  • Maximize opportunities for media coverage in newspapers, television, radio, and on the internet;
  • Manage and execute all aspects of online communications to members, key stakeholders, and the general public;
  • Coordinate and execute EQME’s timely media response to current political issues and events;
  • Coordinate press conferences and other media activities;
  • Produce and manage content for the organization’s website;

Reports to: Director of Programs and Outreach                                                                  Status: Salary-Exempt

 

Summary of Duties: Reporting to the Director of Programs and Outreach, the Community & Volunteer Organizer is responsible and accountable for the management and implementation of special projects, events of the Equality Ohio Education Fund, and educational and advocacy-focused programming related to supporting the work necessary to create an Ohio where everyone feels at home. Primarily, the Community & Volunteer Organizer will be held accountable around the success of all volunteer recruitment and coordination efforts; the development and implementation of events and conferences specifically targeting the engagement of the LGBT and ally communities throughout Ohio. Secondarily, the Community & Volunteer Organizer will be responsible for assisting in the educational and advocacy programs and raising the organization’s online outreach and visibility via the regular updating of EOEF’s website and innovative uses of new media sources. Through a management contract with Equality Ohio, the Community & Volunteer Organizer is additionally responsible for all similar efforts related to the programs and events with Equality Ohio. This position is expected to be the staff lead on the development, planning and implementation of Equality Ohio’s annual series of general membership events. As with all staff positions at the Equality Ohio Education Fund, the Community & Volunteer Organizer is expected to participate in the fundraising activities of the organization to ensure the ongoing fiscal health and vitality of EOEF and EO.

 

Responsibilities:

 

1.)           Event/Program Planning & Implementation:

Develop and/or maintain highly professional standards and procedures for production of events in keeping with the image and reputation of Equality Ohio

d)      In cooperation with other program staff, coordinate statewide programmatic tours, conferences and meetings that may involve multiple partners; work with diverse communities to provide programs support, help craft marketing and promotion, and manage program logistics

e)      Assist in the development of curricula for educational and advocacy programming targeting the LGBT and ally communities throughout Ohio

f)       Proactively assist to seek and secure educational and advocacy speaking engagements with a focus on outreach to the LGBT and ally communities throughout Ohio; this will include leadership development presentations related to Equality Ohio’s C.A.U.S.E. Project (College And University Students 4 Equality) and the annual C.A.U.S.E. Conference

g)      Plan, coordinate and implement grassroots organizing activities including, but not limited to: phone banking, voter identification, petition campaigns.

h)      Manage Equality Ohio’s annual series of general membership events; plan all membership events with the goal of increasing Equality Ohio’s name recognition and visibility with target demographics in key local areas throughout Ohio; increase the number of paying general members secured through membership events from one year to the next

2.)          Volunteer Recruitment & Coordination:

a)      Develop and implement strategies for recruiting a broad base of volunteers to assist with a variety of organizational projects (event volunteers, office volunteers, canvassing/phone banking volunteers, Pride volunteers, membership event committees, etc.)

b)      Draft volunteer job descriptions for volunteer opportunities and regularly post/refresh those details on the Equality Ohio website, VolunteerMatch.com, idealist.org and other sites; organize primary details for volunteer opportunities for inclusion in Equality Ohio’s monthly electronic newsletters

c)       Organize Equality Ohio’s volunteer nights, including the management of volunteer projects, staff representation and ongoing calendaring of these volunteer opportunities; Collaborate with the Administrative Manager to effectively track the number of volunteer hours donated each month and the estimated financial value of that time

d)      Draft volunteer recruitment announcements and utilize all available volunteer data to disseminate announcements to appropriate segmentations of Equality Ohio’s prospective volunteers list; Develop techniques for managing and organizing volunteer data such that communications with prospective and current volunteers is both efficient and effective

e)      Manage Equality Ohio’s C.A.U.S.E. Project (College And University Students 4 Equality) and actively work to engage and register student volunteer teams from throughout Ohio; Track volunteer projects as part of this project and conduct effective evaluations of volunteer experiences following each university quarter/semester

f)       Manage Equality Ohio’s Internship Program; Draft internship descriptions, distribute and post those descriptions via all appropriate resources; Conduct initial review and interviewing of internship applicants; ensure that internship experience evaluations are completed in a timely manner following each internship period

g)      Organize and execute a minimum of two volunteer appreciation events each calendar year (in logical geographic locales in Ohio based on the organization’s current volunteer base), including the securing of underwriting or in-kind donations for venues, food & beverages, and other event elements

h)      Keep abreast of nonprofit trends in volunteer recruitment, coordination, appreciation and evaluation and make recommendations to the Deputy Director about ways to enhance the Equality Ohio volunteer experience

i)        Other duties as assigned

3.)           Online Visibility Management: Assist with the following as needed

a)      Maintain the Equality Ohio website, specifically the home page and subsequent web pages, with timely updates, news items, and announcements about the work of Equality Ohio to increase the number of visits and click-throughs to the organization’s website

b)      Maintain the currency of technology accounts for the organization, including but not limited to, accounts on Facebook.com, MySpace.com, VolunteerMatch.com, Idealist.org, GuideStar.com, etc.; Ensure the timeliness and appeal of posted programmatic announcements and information on these sites and ensure security of the organization’s online accounts by monitoring and updating internal user names and passwords as needed

c)       Manage the entries to the Equality Ohio blog with an emphasis on showcasing diverse perspectives and pro-equality focused entries from organizational staff, board and volunteers with the goal of expanding the communications reach of Equality Ohio’s online blog

d)      Track web traffic, site visits and social networking site profile expansion in quantifiable ways to indicate growth in Equality Ohio’s online presence

e)      Work with the Executive Director and Director of Programs and Outreach to establish and adhere to an organizational policy related to reciprocal linking to other like-minded non-profit organizations to expand the visibility of the Equality Ohio ‘brand’

f)       Assist in the creation of web graphics and programmatic logos for use on Equality Ohio marketing and educational materials as directed by organizational leadership

g)      Update and manage ancillary websites including dowhatsrightohio.com and the Equality Ohio Campaign Fund home page as directed by organizational leadership

h)      Other duties as assigned.

 

Qualifications:

·         A minimum of two (2) years of demonstrated success as either a volunteer coordinator, field organizer or community programs manager with increasing levels of responsibility and success (preferably working within political, government, nonprofit or membership associations), and an emphasis on online communications, volunteer engagement or community organizing

·         Bachelor’s degree, or equivalent experience and accomplishment

·         Strong program planning experience and a proven track record of using the internet in innovative ways to engage the public required

·         Familiarity with online communications/social networking tools such as Facebook.com, MySpace.com preferred

Time Considerations:

This position requires substantial time flexibility as a significant portion of the job responsibilities require a substantial amount of evening and weekend work commitment, much of which will occur outside of central Ohio.

·      Meeting or exceeding Equality Ohio Education Fund’s annual online community organizing and volunteer recruitment goals

·      Demonstrated increase in the number of individuals supporting Equality Ohio Education Fund with commitments of volunteer time and energy

·      Meeting or exceeding Equality Ohio’s (c4) annual Membership Event goals (measured by number of membership events executed throughout the state, number of attendees at each event, and number of attendees converted to ‘paying’ general members to the organization)

·      Demonstrated increase in the number of ‘online’ constituents regularly communicated with about the work of the organization

·      Demonstrated ability to provide efficient and accurate administrative support

Supervision:

The Community & Volunteer Coordinator reports directly to the Director of Programs and Outreach and may assist in the direct supervision of work-study students or Equality Ohio interns from time to time.

Compensation:

Salary commensurate with experience within the range of $30-35,000/year. Benefits include escalating paid time off (PTO) beginning with 20 days per year on an accrual system during the first two years of employment; and a competitive comprehensive medical benefits plan, including a flexible spending account (FSA) and voluntary vision and dental plans (the premium costs of which are covered at a rate of 50% by the employer).

Established in Boston in 2001, MassEquality works to protect, promote and defend marriage equality and to advance lesbian, gay, bisexual and transgender rights.  MassEquality stands by the principle that every LGBT person deserves to be treated equally, to be safe, and to be free from discrimination based upon sexual orientation or gender identity or expression.  Through education and public policy work, MassEquality seeks to create a better world that respects and celebrates diversity and inclusion – a world in which there is equality under the law.

MassEquality is comprised of the MassEquality Education Fund, a 501 (c)(3) governed by an 8-person Board of Directors (with unlimited board membership), and the MassEquality Campaign 501 (c)(4), governed by a 14-person Board, and the Political Action Committee, governed by a three-person Board. Combined, MassEquality has an annual budget of $1.2 million and a dedicated 13-person professional support staff.  

In 2009, the Freedom to Marry Coalition of Massachusetts merged with MassEquality, bringing together the two powerful organizations that secured the right of same-sex couples to marry in Massachusetts.

  Its main objectives are three fold:
LGBT Equality in Massachusetts 
Equality for Transgender People - Transgender people in Massachusetts should be able to work and live without fear of discrimination or harm.   
Equality for LGBT Youth -  Every young person, gay or straight, deserves to be safe in school and have access to the resources needed to flourish and grow. 
Equality for HIV/AIDS Treatment and Prevention – As HIV infections continue to rise, particularly among young gay men and people of color, it's clear that the fight against AIDS is far from over. 
Equality for LGBT Victims of Domestic Violence - Everyone deserves to be safe in his or her own home, but the special difficulties faced by LGBT people are often not understood or addressed by traditional service organizations.
Equality for LGBT Seniors and Elders – LGBT people deserve safety and security and compassion at all stages of life, but especially when old.  LGBT seniors face particular vulnerabilities and challenges in seeking elder services and long-term care; we must ensure that our elders have excellent quality of life in both independent and institutional settings.

 Maintain Marriage Equality in the Commonwealth of Massachusetts 
Same-sex couples are for the first time treated equally under the law, families and children enjoy greater protections, communities are strengthened, and Massachusetts is a more welcoming place for same-sex couples, their children, and their loved ones.  As the first state in the nation to give loving same-sex couples all of the rights, protections and responsibilities that come with legal marriage, MassEquality must remain vigilant to preserve this right for generations to come.

Marriage in New England 
MassEquality joins forces with Gay & Lesbian Advocates and Defenders (GLAD) and state-wide organizations to secure marriage equality in every New England state within the next five years. Marriage equality is the law of the land in four New England states and must be secured in Rhode and Maine.

THE POSITION

The Executive Director reports to the Boards of Directors.  S/he supervises the following direct reports: Development Director, Political Director, Director of Finance & Administration and a Communications Coordinator.
 Duties and Responsibilities include the following:

Program Oversight
  • Overseeing MassEquality’s public affairs and education program, ensuring a prudent balance of resources between political work and community outreach and education; maintain and expand our current strategic alliances with partner organizations; support and achieve goals of partner organizations being mindful of each group’s own priorities, characters and needs
  • Integrating education, development and political strategies and building an increased sense of active collaboration among departments in furthering MassEquality’s mission
  • Developing a strategy to work with the Massachusetts State Legislature and state agencies on issues of importance to the LGBT community and its allies
  • Maintaining the support of MassEquality’s broad-based membership through the development and execution of programs relevant to their needs and interests
  • Building MassEquality’s outreach to diverse communities, especially communities of color and the Transgender community and to increase the diversity of our membership

Fundraising  
  • Working closely with senior staff, leading the planning effort for and implementation of an overall fundraising strategy to maximize current opportunities, sustain development efforts in a fast changing environment and to address potential drop-off as the marriage debate shifts to other regions, developing a strategy to compensate for this eventuality
  • Working closely with the Boards’ Development Committee and the Director of Development, formulate a strategic development plan for years 1-3, including determining the time the Executive Director will devote to fundraising activities and what these activities shall be
  • Working closely with the Boards of Directors and the Development Department to identify, solicit and acquire new sources of funding among corporate donors, to encourage board giving and to build long-term, sustainable sources of income for the organization, including an endowment
  • Actively seeking major donor support within the LGBT community and among friends and allies, and re-connecting with the many donors who supported the marriage campaign
  • Directs the raising of sufficient funds to meet budgeted goals
  • Acting as the primary spokesperson for MassEquality in the grant-making community, including foundations, corporations and government agencies

Communications/Community Relations
  • Serving as MassEquality’s liaison and spokesperson to the public, government funders, the LGBT community, the media and other constituents and allies
  • Continue to develop MassEquality’s new media outreach to constituents through social networking, blogging, e-messaging and e-solicitation
  • Building and nurturing coalitions and collaborative initiatives with other community and social justice organizations, including but not limited to GLAD, BAGLY, Boston GLASS, Massachusetts Commission on GLBT Youth, Massachusetts Transgender Political Coalition, Network La Red, Gay Men’s Domestic Violence Project, Hispanic Black Gay Coalition, Bisexual Resource Center, Multi-Cultural AIDS Coalition, Somos Latinos, the LGBT Aging Project, the Massachusetts Gay & Lesbian Political Caucus, the Human Rights Campaign, National Gay and Lesbian Task Force, AIDS Action Committee, the ACLU of Massachusetts and others who support MassEquality in its successful fight to protect gay marriage.  There is a particular need to bridge the gap and nurture relationships within supportive faith communities and communities of color, as well as with youth advocacy groups and transgender allies
  • Continuing to build MassEquality’s public presence, brand and identity as a leader in the LGBT civil rights movement

Finance/Administration
  • Developing the annual budget, ensuring proper fiscal accounting and controls, as well as legal and fiduciary compliance as relates to tax filings, regulatory filings and other governmental regulations
  • Ensuring that MassEquality has the financial and human resources necessary to implement its strategic plan and operational goals
  • Managing all human resources functions, including the hiring, development, motivation, evaluation and retention of senior staff
  • Overseeing and strengthening the organizational infrastructure necessary to support and sustain MassEquality’s accelerating growth.  

Board Relations
  • Working with the Boards of Directors in determining overarching goals as part of a new strategic plan.  From this the Executive Director creates an Annual Operating Plan based on these agreed upon broad-based milestones
  • Strategizing with the Boards on the optimum size and structure for MassEquality and creating an action plan to achieve these objectives
  • Leading other strategic planning processes, evaluation and development of new business models; engaging Boards, staff, and external stakeholders as appropriate
  • Participating as an active member of the Boards’ working committees, or designating senior staff to do the same; and participating in the Boards recruitment and training process
  • Working with the Boards to more effectively recruit and retain new members that reflect the diversity of the communities served; help identify what is necessary to create a respectful and inclusive environment that will support these potential new Board Members

PROFESSIONAL QUALIFICATIONS
MassEquality is seeking a mature professional with a minimum of 15 years of experience, including 3-5 in a senior management position, either in the not-for-profit sector or in a corporate management role.  Experience in public policy, campaign management or advocacy at the state or federal level is essential.
The successful candidate must be a proven fundraiser, ideally in the area of public policy, social justice and equal rights.  S/he must have a solid understanding of board dynamics and governance in a growing not-for-profit organization.
The Executive Director must be a strong communicator and spokesperson who can represent MassEquality effectively to the public and the media.  The ability to build coalitions and sustain collaborative group effort is important.

The candidate must be a proven manager with a demonstrated record of leading and motivating a highly educated and dedicated team of professionals and support staff.
Knowledge of the Massachusetts political and activist landscape, while not strictly required, would be a distinct advantage for the successful candidate.
An undergraduate degree is required and a graduate degree in management, law, public policy or other professionally related field is helpful.  The Executive Director must be sufficiently knowledgeable about the law and its potential to impact public policy to be a credible leader and spokesperson for the organization.

PERSONAL CHARACTERISTICS
The ideal candidate will be a leader with vision, stature and presence.  Humility, common sense and personal charisma are highly desirable characteristics.  The Executive Director should be a good listener, an excellent motivator, and an accomplished communicator. S/he must be respectful of staff and coalition partners and supportive of their dedication and hard work on behalf of the community. S/he must understand that the role of MassEquality is to give voice to the issues of coalition partners rather than to dictate their agenda.

The Executive Director must be a “roll up your sleeves” manager with the ability to foster an environment of teamwork and collaboration.  The ability to handle multiple projects simultaneously and to work effectively under pressure is important.
A passion for LGBT civil rights, social justice grassroots organizing, along with a collaborative orientation, an appreciation for diversity and a gracious personal manner are essential for success.

Description:

This position provides full financial and administrative leadership for the organization including 3 legal entities (c4, c3, and PAC) on a 60% FTE basis. This position reports to MassEquality’s Executive Director and works closely with other members of MassEquality’s management team and members of the Board of Directors’ Finance Committee. This position supervises an Operations Manager, who performs day-to-day finance and office management duties.

Specific responsibilities include:

Financial Management

  • Serve as a member of the executive team, representing finance. Participate in key decisions pertaining to strategic initiative, operating model and operation execution
  • Prepare monthly financial reports. Conduct the monthly closing process including recording of credit card revenue, inter-organization billing, general ledger maintenance and balance sheet reconciliation.
  • Analyze financial results and make recommendations.
  • Oversee and manage all cash of the organization
  • Work closely with the Director of Development to ensure quality tracking for revenue; and reconcile revenue between Quickbooks and the fundraising database on a monthly basis
  • Develop grant budgets and related subsequent financial reporting
  • Prepare materials for the Finance Committee and Board of Directors meetings
  • Lead the annual budgeting process and periodic forecasting
  • Oversee and manage all purchasing including office supplies and travel
  • Develop and maintain appropriate cost allocation methodologies including staff time allocation, cost allocation between legal entities, and functional cost allocation
  • Manage the American Express Corporate account
  • Ensure maintenance of appropriate internal controls and financial procedures. Responsible for updating and maintaining accounting policies and procedures manual
  • Train and supervise staff on rules and regulations related to financial management
  • Address all financial accounting and reporting issues related to GAAP
  • Lead annual financial audit
  • Ensure all necessary filings are completed – Form 990, Form PC, OCPF Lobbying reports, state solicitation filings, etc.

Compliance

  • Monitor all activities for each legal entity for complian
  • ce with State and Federal laws
  • Process all required regulatory reports for each entity
  • Manage the organization’s insurance program with appropriate consideration for organization risks

Payroll Processing and Human Resources

  • Supervise Operations Manager in processing payroll with ADP on a bi-weekly basis
  • Oversee accurate and compliant documentation of staff time allocation among the 3 legal entities
  • Administer employee benefits and provide orientation to all new employees
  • Ensure compliance with all state and federal employment laws

Office Management

  • Supervise Operations Manager to ensure that all facility needs are met
  • Oversee all office equipment and technology contracts

Technology

  • Lead the procurement and maintenance of state of the art technology and systems

Qualifications

  • Commitment to MassEquality mission
  • 3-5 years minimum financial management experience in a non-profit organization
  • Excellent communication and interpersonal skills
  • Familiarity with Quickbooks helpful
  • Advanced degree and/or CPA a plus
  • Demonstrated familiarity with the latest financial and legal compliance issues relating to 501(c)3 and 501(c)4 organizations
